50 CPD ACTIVITY Any numerical targets set should be communicated at the beginning of the promotional period and updated/reviewed with the team regularly. Tips • You should train staff to remind everyone that the flu vaccine is recommended each year. • You will need a workflow process designed with your store layout and traffic patterns in mind. • Ensure you are set up to prebook patients in and/or offer the vaccination service on the spot. • Remember to refer NIP patients, unless they prefer to receive the service (self-funded) in the pharmacy, or if your state/territory allows pharmacy NIP vaccinations. • Utilise the 15 minutes post-vaccination monitoring time to discuss other vaccinations where appropriate, or pharmacy services, or even encourage retail browsing. • If your pharmacy will be providing the Covid-19 vaccination, you could also use this time to gather expressions of interest from your patients. Staff roles Having clear project leaders and staff who know exactly what their role is to be for a project, or as part of an ongoing service offering, is one of the most important indicators of success. If your staff know what they’re meant to be doing, when they’re to do it, and how and why they need to do it, then clarity of expectation, roles and outcomes is established. Consider allocating tasks based on the key roles, such as: Professional services manager • Determine the service offer and cost. • Set up pharmacy space and workflow. Where will patients be vaccinated? Where will they wait? Where will they be monitored? How will bookings and walk-ins be managed? • Organise training for staff members. • Oversee and support the activities during the vaccination period. Be the point of contact for all questions from patients and pharmacy staff. • Set goals for this service. • Hold regular team meetings to provide feedback and update on progress against targets. • Optional: (in collaboration with pharmacy owner/management team) promote the flu vaccination service to local businesses. Qualified vaccinating pharmacist(s) • Deliver the vaccination service and clinical care according to legislative guidelines and best practice standards. • Provide patient education and information. Take the opportunity to discuss other relevant information or services. • Ensure legislative, clinical, and recording and reporting requirements are implemented and maintained. Trained vaccination supporting staff • Confirm all patient bookings. • Make sure all patients have completed the pre-screening checklist and signed a consent form before their appointment. • Facilitate post-vaccination monitoring and documentation (ie, document in patient’s vaccination record if patient leaves earlier than the required time). • Ensure 15-minute post-vaccination monitoring time is utilised effectively by discussing other offerings, or encourage retail browsing. All team members • Actively promote flu vaccinations to all relevant customers. • Book patients using the pharmacy’s preferred booking system. • Receive patients as per your preferred workflow when they arrive for their appointment or walk-in vaccination. Preparing for a successful vaccination season will benefit your pharmacy in a number of ways. But primarily, your local community will continue to see you as a provider of consistent, frontline healthcare, while your staff will be better prepared to deliver a vital health service effectively, efficiently and in a supported manner that they’re comfortable with.
